Workganizer (“we”, “our”, “us”) is a time tracking and workforce management software operated by Webbiner Digital Solutions. This Privacy Policy explains how personal data is collected, used, stored, and protected when using the Workganizer web application, desktop application, and mobile application.

This policy applies to employers, managers, and employees using Workganizer in a professional context.

1. Scope of This Policy

Workganizer is a B2B time tracking and productivity management tool.

Personal data is processed only for work-related purposes and only during working time.

Workganizer does not operate as a consumer monitoring or surveillance application.

2. Data Controller & Processor Roles

• Workganizer (Webbiner Digital Solutions): Data Processor

Workganizer is not responsible for unlawful configuration or misuse of monitoring features by employers. Employers are solely responsible for ensuring proportionality, transparency, and lawful use of the Service in accordance with applicable labor and data protection laws.

Employers using Workganizer are solely responsible for ensuring compliance with local labor and employment laws when enabling monitoring features.

3. Legal Basis for Processing (GDPR Art. 6)

Workganizer processes personal data based on:

• Legitimate Interest – workforce management, time tracking, and productivity analysis, provided that such processing is necessary, proportionate, transparent, and limited to working hours in accordance with GDPR Article 6(1)(f) and applicable EU labor laws.
• Legal Obligation – compliance with labor, accounting, or contractual requirements.

Employee consent is not relied upon due to the imbalance of power in employment relationships.

4. Personal Data We Collect

4.1 Identification & Account Data

• First name, last name
• Work email address
• Role (employee / manager / admin)

4.2 Work Activity Data

• Time tracked per task or project
• Start/stop timestamps
• Idle time detection
• Activity level percentage (mouse & keyboard activity)

4.3 Screenshots (Optional & Configurable)

Screenshot capture is an optional feature that may be enabled only by the employer (data controller) and only for defined work-related purposes.

Screenshots may be captured exclusively under the following conditions:

• Only during active time tracking
• Only during defined working hours
• Never during breaks, idle periods, or offline status
• Never as continuous recording or live video

Screenshot frequency, blurring, and retention duration are configurable by the employer.

Screenshots are used solely for:

• Verification of work activity
• Project and task auditing
• Time reporting accuracy
• Resolution of work-related disputes.

Screenshots are not used for automated decision-making, behavioral profiling, or disciplinary actions without human review.

Employees are informed when screenshot monitoring is enabled.

4.4 Technical & Log Data

• IP address
• Device type and operating system
• Application logs and crash reports

5. What We Do NOT Collect

Workganizer does not collect:

• Keystroke content
• Passwords
• Personal messages
• Audio recordings
• Video recordings
• Contact lists
• Camera access outside screenshots (screenshots are not live video)

6. Purpose of Data Processing

Data is processed strictly for:

• Time tracking and attendance
• Project and task management
• Productivity analysis
• Operational reporting
• Business accountability

Workganizer does not perform automated decision-making or profiling within the meaning of GDPR Article 22. All evaluations, interpretations, and decisions based on data collected through the Service require human review and are not executed solely by automated means.

7. Employee Monitoring Notice

Monitoring features, including optional screenshot capture:

• Are limited strictly to defined working hours
• Are visible, transparent, and disclosed to employees
• Area configurable and may be disabled by the employer at any time
• Are intended solely for operational oversight and work verification, not surveillance
• Do not monitor private activities or personal content

Employees have access to their own tracked data, including screenshots where applicable.

8. Data Retention

Screenshots: retained for a limited period based on the subscription plan and employer configuration:

• – Free plan: up to 1 month
• – Paid plans: up to 12 months

Screenshots are automatically deleted after the retention period expires.

Employers may configure shorter retention periods at any time.

• Activity & time data: up to 12 months
• Timesheets & reports: according to employer policy or legal requirements

Data is deleted or anonymized after retention periods expire.

9. Data Security

We apply industry-standard security measures:

• Encrypted data transmission (HTTPS)
• Encrypted data storage
• Role-based access control
• Access logging and monitoring

No system is 100% secure; however, we take all reasonable technical and organizational measures.

10. Third-Party Services

Workganizer may use:

• Google Play Services
• Firebase Analytics
• Firebase Crashlytics

These services process limited technical data under their own privacy policies.

11. GDPR Rights

Data subjects (employees and authorized users) have the right to:

• Access their personal data
• Rectify inaccurate data
• Request deletion (where applicable)
• Restrict or object to processing
• Data portability

Requests are handled within 30 days and are free of charge unless excessive

12. International Transfers

If data is processed outside the EU, appropriate safeguards (such as Standard Contractual Clauses) are applied.

13. Children’s Data

Workganizer is not intended for use by individuals under 18.

14. Changes to This Policy

This policy may be updated. Material changes will be communicated through the Service.
